VHQ Solutions Terms & Conditions


Subscriptions & Fees

All subscriptions, consultancy fees and other charges specified in proposals or agreed in letters of confirmation will be held for a three month period, after which time they may be subject to review.

Any work or expenditure on items not specified in our proposal will only be undertaken with the express authorisation of the Client.


  • Solution subscriptions are calculated on the number of Users registered on the 1st of each month.
  • All quarterly or annual subscriptions will be billed in advance on the 1st day of the month, and any additional fees and charges due will be billed in arrears, being added to the client's next invoice.
  • Any meeting or activity (physical or online) requiring additional consultant time over and above that agreed in our proposal will be charged based on our standard consultancy rates.
  • Consultancy, education and training fees are charged on an hourly rate basis and any agreement to charge on a daily rate basis will assume a standard 7 hour working day.
  • The provision of IT equipment, materials for training/education courses and any other relevant costs will be charged separately.

Expenses

Travel, subsistence, accommodation and any other reasonable expenses will be charged at cost.
Travel by car will be charged at 60p per mile.

Payment

VAT will be charged at the current rate at the date of invoice.

All invoices must be paid within 30 days from the date of the invoice, and Interest will be payable at 2% per month on all overdue invoices.

Cancellations

Consultancy, education or training that is booked and subsequently cancelled or rescheduled will be subject to the following charges:

  • Less than 2 weeks before date of work 100% of fees
  • Between 2-4 weeks before date of work 50% of fees
  • More than 4 weeks before date of work No charge

General

  • VHQ Solutions will protect all personal information in accordance with the UK Data Protection Act 1998 and its registration under this act with the Data Commissioner's Office
  • Unless otherwise agreed in writing, these terms shall apply to all agreements between VHQ Solutions Ltd and the Client
  • The WebOffice and/or CRM Services Terms of Use contracts also apply, where relevant.
  • Any variation to these terms must be accepted in writing by VHQ Solutions Ltd.
